Managing Packages

Service Selection: Packages are tied to a single existing service. You cannot bundle multiple different services together within a service package.

Defining Package Details:

  • Quantity: You must set the number of visits between 2 and 20.

  • Discount: You must set a discount percentage, up to 50%.

Package Naming: The system automatically generates the package name for clarity and consistency, using the format: [#] Pack: [Service Name] (e.g., "5 Pack: Haircut"). You cannot manually name packages.

One Package Per Service: You can only offer one package for a specific service at a time. For example, you cannot offer both a 3-pack and a 5-pack for the same service.

Editing Restrictions: After the first sale, you cannot modify the package's core details, including the quantity (number of visits) or the discount percentage.

Modifying Status: You can change the package status to control visibility to new clients:

  • Active: Visible to clients and available for purchase.

  • Paused: Hidden from new buyers, but existing clients can still redeem their credits.

  • Deleting a Package: Deleting a package sets its status to "deleted" and hides it from new purchases. Existing clients' remaining credits will still be honored until redeemed or refunded.

Service Deletion/Your Removal:

If you delete the service a package is tied to, the existing package credits remain valid.

If you are removed or deactivated from the StyleSeat platform, existing package credits also remain on the client's account.

The package will be marked as "deprecated". The client must contact StyleSeat Support for a refund.

Liability: The Service Package contract is solely between you and the Client. StyleSeat holds no liability for unfulfilled packages.

Refunds

Submitting a Refund: You can submit a full or partial refund via the transactions tab.

Partial Refund Calculation: For a partial refund, you are recommended to calculate the amount based on the total package cost and the number of credits used.

Refund Consequences (Critical Rule): Upon partial or full refund, the package is immediately removed from the client's account, and all associated future appointments are automatically cancelled.

Earnings, Fees, and Payouts

Payout Timing (Revenue Recognition): You receive the full package price (minus fees) at the time the client purchases the package. Revenue is officially recognized at the purchase date, not when the client redeems a credit.

Fees Charged at Purchase:

  • A single booking fee ($2.35) is charged on the total package amount.

  • Standard processing fees (2.9%) are charged on the total package amount.

  • No additional booking fees are applied to individual redemptions.

Earnings on Redemption: When a client uses a package credit for an appointment, the service revenue is recorded as $0.00 because you were already paid. Your earnings for that appointment will only consist of the tip collected from the client.

Financial Reporting: Package sales and refunds are tracked and included in your financial reports:

  • The Net Earnings Report will include new line items for servicePackageSales and servicePackageRefunds.

  • Transaction Ledgers show package purchases as a distinct transaction type and redemptions as a payment method for an appointment (Credit # of #).

Appointment and Client Management

Booking Limitation: You cannot use a client's package credits when booking an appointment for them. Clients must book their own appointments to use their credits.

You will see a banner alert on the calendar/booking flow if a client has package credits, reminding you of this limitation.

Cancellation (General):

If you or your client cancels their appointment before the NSLC window, the service package credit used to book with will be returned to the client.

Late Cancellations / No-shows:

  • Standard NSLC rules apply.

  • If a client no-shows or late-cancels, they will lose the credit for the service package used to book. If they added additional services or add-ons they are charged your standard monetary NSLC fee (X% of the service cost at the discounted rate) to their card on file.

  • If you cancel on behalf of the client, or mark a client as a no-show, you have the option to charge one instance of the package or not.

Viewing Client Usage: You can view a client's Service Package status (active packages, remaining credits, and purchase date) on their Client Details page. You will see a progress bar showing usage and details of past/completed packages.

Smart Pricing and Deposits:

  • Smart Pricing does not apply to the service covered by the package, as the price is locked at purchase.

  • If a client adds multiple services and a deposit is required, the deposit will be on the additional cost not covered by the package.
