Issuing a Refund | Information for Professionals

Learn how to issue a full or partial refund on an appointment, a no-show or late-cancellation fee, or a deposit — and how long you have to do it.

What You Can Refund

You're able to issue a refund on any appointment, directly from your account — no need to contact StyleSeat support for standard refunds. This includes:

  • The service cost itself

  • A no-show or late-cancellation fee you've charged

  • A deposit or prepayment (see the notes on deposits and prepayments below)

You don't have to wait for the original payment to reach your bank account before refunding it — you can issue a refund anytime after the charge, regardless of your payout schedule.


How to Issue a Refund on an Appointment

  1. Open Calendar and select the appointment

  2. Tap Refund

  3. Choose a reason and tap Submit

Your client gets a confirmation, and the refund typically shows up on their statement within 5–10 business days.


Full vs. partial refunds: entering a custom refund amount — including refunding just a tip — is available on the Premium plan. On the Basic plan, you can only refund an appointment in full.


Regardless of plan, some charges can only be refunded in full, such as no-show/late-cancellation fees and any appointment that had a deposit. The app will show "This appointment can only be refunded in full" in these cases.


How to Refund a Late-Cancellation or No-Show Fee

  1. Go to Clients, find the client, and open the appointment

  2. Tap Refund below the appointment details

  3. Choose a reason and tap Submit

No-show and late-cancellation fees can only be refunded in full, regardless of plan.


Refund Time Limit

You can issue a refund from the app for up to 14 days after the appointment's start time. After that window closes, the appointment is blocked from in-app refunding (it will show as too old to refund), and you'll need to reach out to StyleSeat support instead.


The 14 days count from the appointment's scheduled start time — not from when the client was charged or when you checked out the appointment.

For prepaid appointments, the 14-day clock does not start until the appointment has been charged. If a client prepaid or paid a deposit but the appointment was canceled or resulted in a no-show without ever being charged, you can refund that prepayment at any time.


Refunding Deposits and Prepayments

Deposits and prepayments follow the same refund mechanics as above, but they're presented to clients as non-refundable by default — refunding one is always your call, not something a client can request automatically. Appointments with a deposit can only be refunded in full, regardless of plan.

If a deposit was held for a New Client Connection appointment, it refunds automatically if you decline the booking or don't accept it within 24 hours — no action needed on your end.


Frequently Asked Questions

Do I need to wait for a payout before I can refund a client? No — you can issue a refund anytime after the original charge, whether or not those funds have reached your bank account yet.


Can I issue a partial refund? Only on the Premium plan, which lets you enter a custom refund amount (including refunding just a tip). Basic plan refunds are full-amount only. Regardless of plan, no-show/late-cancellation fees and any appointment with a deposit can only be refunded in full.


How long does it take for the client to see the refund? Typically 5–10 business days on their statement, though it can appear sooner depending on their bank.


Where do I go to refund a no-show or late-cancellation fee specifically, versus a regular appointment? Regular appointment refunds start from Calendar; no-show/late-cancellation fee refunds start from the client's profile under Clients. Both end with the same Refund → reason → Submit steps.


Is there a deadline for issuing a refund? Yes — you have 14 days from the appointment's start time, not from when the client was charged. After that, the appointment can no longer be refunded in-app, and you'll need to reach out to StyleSeat support. For prepaid appointments, the 14-day clock does not start until the appointment has been charged — so a prepayment or deposit on a canceled or no-show appointment that was never charged can be refunded anytime.


What happens to a deposit if I decline or don't accept a New Client Connection booking? It refunds automatically within 24 hours — you don't need to do anything.
