How to Set Up and Manage Your Salon on StyleSeat
If you rent chairs to other stylists, barbers, or estheticians, Salon Tools is your new best friend. It brings your whole team onto StyleSeat in one place, so you can see everyone's schedule and manage your crew without juggling a dozen different logins. You stay the salon admin, and each pro you invite still runs their own show (their own account, their own plan, their own payouts). Here's how to get it all set up.
What Salon Tools Does
Salon Tools is made for chair rental salons and multi-chair businesses, where every pro in your space runs their own independent business, sets their own prices, and gets their own payouts. That part doesn't change. What Salon Tools gives you is a shared layer on top, so you can:
Invite other StyleSeat pros to join your salon
See everyone's schedule in one unified calendar
Manage your whole crew from a single Manage Providers screen
Set shared business info and hours at the salon level
Heads up: commission and hourly setups (where the salon controls pricing, payroll, and client relationships) aren't supported just yet. Right now, Salon Tools is built around pros joining as independent renters.
Set Up Your Salon
Log in to your StyleSeat professional account and head to Settings
Open Salon Settings
Tap the option to create a salon
Confirm your business info. This becomes your salon's shared profile, and you're automatically set up as the Salon Admin
That's it. Once your salon is created, you'll see it pop up as an option in your Switch Accounts menu, right alongside your individual pro account.
Invite Professionals to Your Salon
From Salon Settings or the salon view, open Manage Providers
Tap Invite Provider
Enter the email address the pro uses for their existing StyleSeat account
Quick note: they need to already have a StyleSeat account under that email for the invite to work. Invites expire after 7 days if they're not accepted, but no worries if that happens, you can just resend or cancel a pending invite anytime from Manage Providers.
Once they accept, they'll show up as a member of your salon. Nothing changes about how they run their business day to day. They still handle their own bookings, payouts, and client list. Accepting just gives you scheduling access on the shared salon calendar.
Switch Between Your Salon and Your Personal Account
Use the Switch Accounts menu (in your app header or account menu) to hop between your individual pro account and your salon view. While you're in salon view, your side menu keeps things simple with just what you need for running the salon, like the shared Calendar, Manage Providers, and Settings. Toggle back to your personal account whenever you want your own bookings, marketing, and earnings tools back.
Use the Shared Salon Calendar
Once your team has joined, their schedules line up side by side in one calendar view. Everyone gets their own column, so you can see the whole day at a glance, book or reschedule appointments for anyone on your team, and add clients right from the shared view. Checkout still happens on each pro's own account, since payments and payouts stay tied to them individually.
Manage Who's in Your Salon
Pop open Manage Providers anytime to:
See everyone currently in your salon
Check on and manage pending invitations
Remove a pro from your salon, if needed
Don't worry, removing someone from your salon won't delete their StyleSeat account or wipe out their history. It just ends their connection to your salon calendar and salon business info, and they go right back to running their own account solo.
Salon-Level Settings
As the admin, you're in charge of the shared business info, like your salon's address and phone number, right from your salon's settings. You also get to decide whether working hours are the same for everyone (salon-wide hours) or left open so each pro can set their own.
Pro Tips
Tip 1: Double check your business address and hours before you start sending invites. Once a second pro joins, some business info locks at the salon level so it stays consistent across your team.
Tip 2: Give your pros a heads up to check their email (and their spam folder) right after you send an invite. Invites expire in 7 days, so a quick nudge can save you from having to resend one.
Tip 3: During your busiest hours, glance at the shared calendar to spot any open chairs and rebook clients with whoever's free, instead of flipping through everyone's calendar one by one.
Q&A
Who can create a salon and send invites?
That's the Salon Admin's job, the pro who originally set up the salon. They're the only one who can send, resend, or cancel invitations and remove pros from the salon.
Does a pro need a StyleSeat account before I invite them?
Yep. Invites go out to the email address tied to an existing StyleSeat professional account.
Will joining a salon change how an invited pro gets paid?
Nope, their pay stays exactly the same. Pros who join a chair rental salon keep their own subscription plan, their own payouts, and their own client list. Joining a salon just adds them to your shared calendar and salon view.
What happens if I remove a pro from my salon?
They keep their StyleSeat account and all their appointment history, no data lost. They just lose access to the shared salon calendar and settings, and go back to running their own account on their own.
Can everyone in my salon see the full salon calendar?
Nope, just the Salon Admin. The unified calendar and Manage Providers screen only show up in salon view, which is accessed through the admin's account.
Does Salon Tools support commission or hourly staff?
Not yet, but it's on the radar. Right now, Salon Tools is built around chair rental relationships, where every pro runs their own independent business. Commission and hourly salon staffing is planned for a future update.
