Chargebacks: What They Are and How to Respond

Chargebacks are a regular part of processing payments. While the reasons can vary, understanding how to respond and providing the right information can make a significant difference in the outcome.

What Happens During a Chargeback?

  • A chargeback occurs when a client disputes a payment with their bank.

  • StyleSeat notifies you immediately if a chargeback is filed.

The Chargeback Process Explained

  • The client contacts their bank to dispute a charge.

  • StyleSeat notifies you immediately and provides instructions.

  • You can submit evidence (messages, appointment records, photos) in the app:

    • Earning → Transactions → Disputes

    • Contest it, and submit any supporting evidence before the deadline.

  • The bank review process typically takes 10–14 weeks, and no further action is required once you submit your response.

  • StyleSeat relays the bank’s verdict.

Here Are Some Evidence Examples:

  • Proof of service completion

  • Message history

  • Cancellation policy

  • Photos before/after

  • Signed consultation forms

What Makes a Strong Response

Banks want documentation that the service was booked and agreed to. The more information you can provide, the better your odds.

  • Submit something, even if it feels thin. A short message history and an appointment record beat an empty submission every single time.

  • Show the client agreed to the terms. A screenshot of your cancellation or no-show policy as it appeared when they booked is one of the most useful things you can attach.

  • Show the service happened. Before-and-after photos with timestamps, a signed form, or a check-in message on the day.

  • Include the conversation. Booking confirmations, reschedule requests, and any messages after the appointment. If the client said they were happy, that message is gold.

  • Keep it organized. A few clearly labeled items are more persuasive than a pile of screenshots.

  • Watch the deadline. Missing it counts as not responding, and the case is lost automatically.

How to Reduce Chargebacks Before They Happen

You cannot prevent every chargeback; however, a few habits meaningfully lower how often they happen and make them far easier to win when they do.

  • Set and share a clear cancellation and no-show policy. Pros with a documented policy win noticeably more of their disputes, because the policy itself is evidence.

  • Take before-and-after photos, especially for new clients.

What to Expect

The client’s financial institution reviews and decides chargebacks.

  • Outcomes can vary. Each dispute is reviewed based on the information available, and the outcome may not always be in your favor.

  • The process takes time. Once your response is submitted, the financial institution will review the information. No further action is typically needed from you during the review.

  • You’ll be notified of the outcome. StyleSeat will share the final outcome once it becomes available.

Common Questions

Can I still contest if I do not have photos or a signed form?

Absolutely. Message history and appointment records alone are far better than submitting nothing. Send what you have.

What if I miss the deadline?

The case closes as undisputed and is treated as a loss.
